The bottleneck

Every hire starts with retyping.

Applicants fill out paper forms, the way the trades have always hired. Someone in the office reads each one and types the same name, address, and work history into the systems that onboarding and payroll depend on. Every new hire means the same transcription, and a typo made on day one follows the worker into payroll.

Hiring at volume turns that into a real constraint: a good hiring week produces a stack of forms, and a worker cannot start until their paperwork is in the system, so the transcription backlog quietly sets the pace of onboarding.

The work itself is exact, repetitive, and entirely readable by a machine. It is transcription, and transcription is automatable.

How we did it

    Keep the paper. Paper applications were a requirement, not a leftover: the firm knows its applicants and its managers, and it wanted the hiring process they trust left exactly as it is. We built to that. Forms are scanned or photographed as they arrive, and the system picks them up from there.

    Read and draft the record. It reads the application, handwriting included, and drafts the worker record that onboarding and payroll will use, every field placed where the downstream systems expect it. Anything it can't read confidently gets flagged, never guessed.

    Verify, don't type. Staff review the drafted record against the source form on one screen and correct what's flagged. Approval replaces transcription, and the record lands in the downstream systems right the first time.

It runs on document-reading plumbing already proven in production, in the firm's own accounts, owned outright like all of our work.
